WSCPA Executive Board Meeting
September 23-24, 200
4
Icicle Inn,
Leavenworth
Executive
Director’s Report
My report will follow the agenda for this meeting.
NCPC Conference
Registrations
As of
09-22-04
we have 125 people registered for the
conference. I have dealt with
several agencies that are always the last ones in and they are now
working against
the hotel cutoff for conference room rates. NCPC is asking the hotel
to extend the
room rates for our people. I advised
Bryan
that a good number of people wait
until
the last minute until their agencies allow them to go.
Bryan
asked me to estimate the number of
people that I thought would be at the conference and I said between
200 to 225. I base this on the fact that only one
board member has registered and I have been told by several agencies
that they
are sending from 1 to 7 people. I would like us to go back to our
areas and see who
might be coming
Reception
I’m worried about the reception and would like to have someone in
direct contact with
Bryan
on this. I understand that NCPC has to
spend a certain amount of money on
food. I also know that they would like to have a certain amount of
this covered by
outside sponsors. They would like this to have a
Washington
flavor to it.
Volunteers – Scholarship
It sounds like NCPC has already given up in the conference to the
point of giving
only four tracks in the breakouts and two pdi’s. This helps us
finding volunteers. WSCPA was given 10 scholarships and Gerald will
talk about who we selected.
Gerald and I are contacting these people to make sure that they can
help for all the breakouts on Wednesday and Thursday. I have the
information the volunteers will
have to use and I will make copies of these and send them out to the
volunteers.
Sponsors
WSCPA needs to find a couple of sponsors for this conference. I have a
couple of
calls in to people to see if they can help. I haven’t heard back from them
at this time.
40 Hour Basic Crime Prevention Class in
Moses
Lake
The class had 26 attendees and
WSCPA received a check from Children’s Hospital
for $1,300. Jim was very happy with the turnout and we discussed
opening this up
to businesses and
Jim has a tentative June, 2005, date for the next one in the
Seattle
area. Jim is working
with some of the Chamber of Commerce and hopes to make this a big
show. Children’s has already volunteered to help with the food and
other items.
WSCPA Board Openings
At the last WSCPA Board meeting,
those present discussed the open board positions and I was asked to
check with John Turner to see if he still wanted to be an At Large
Member and I was going to find a person for Region 8. Bob McKellar was
going to
find a person for Region 5 and we thought about asking Joie Worthen to
be the last At-Large position I
talked to Marion who wanted this to be an Executive Board
agenda Item.
I talked to John Turner and know that he would like to continue as an
At Large Board Member and asks that we get him a calendar of meetings
as soon as possible. I also
have a letter from Mike Blatman’s Sergeant saying that his
department will support
Mike as the WSCPA Region 8 Director. The other positions will be
discussed at
today’s meeting.
WSCPA Board Meetings
I was very upset at the
turnout for the last meeting. I have talked to Cal Baker,
John Turner, Gerald Myklebust and Jim Turner on why they didn’t show
up. We
will discuss several items today to guarantee quorums and to extend
the cost of
the hotel room to the board members. We will also discuss cutting the
number of meetings by using conference calls and to keep the board
more informed.
I stress the importance of good board communication and to make sure
that the
board uses the calendar especially when it comes time to send in your
reports or
for Newsletter and Website updates. I can’t stress the importance of
having a
continuing 2 year calendar.
2005 Budget
I will present a 2005 budget that has changed from the June meeting. I
have increased
the numbers to be reflective of the changes that I feel that WSCPA
will have to start going through. Some questions have to be answered
like will WSCPA still provide
crime prevention materials and to what extent or do we have to rewrite
our
mission statement.
WSCPA Website
The most important product we have at this time is the website. I have
received more compliments, arguments and disagreements when it comes
to the condition of the website. Since June the website has had to
undergo a major change. Highspeed Communications still hosts the
website and gives WSCPA free email services but
they had to change their Internet Servers that then knocked the
website down.
WSCPA had to act fast so I contacted
Marion
that then gave me the go ahead to
get the site up and running up to and including spending $250 - $500.
I found a Web technician at Blue Mountain Internet a Ruben Bybee that
met with him. We came up
with a basic design change and sent it to
Marion
. I was told to start the update.
The initial first steps cost WSCPA $400. The change over started
immediately. We
now have about 85% of the estimated 1,000 pages of the WSCPA Website
changed
over. I will be asking WSCPA to okay a maintenance contract with Ruben
Bybee.
This contract will allow us to have an interactive Calendar, and
Newsletter hosted
by Blue Mountain Internet. Ruben will also be available on a
maintenance basis.
The first payment will be $350 for the changes and then $100 a month
for
maintenance. I will assure WSCPA that this will allow us to have one
of the
best crime prevention websites possible. But remember that any website
is
only as good as the membership that sends in information updates and
calendar information.
Funding
WSCPA must reach out into our local, state, and federal avenues for
grants and
supplies. WSCPA has 700 members and a potential to grow to 850 buy the
end of
the year. I would like to suggest a support group of businesses, law
enforcement
and state and federal agencies to support our crime prevention
efforts. But we must
each look at ways to increase the flow of cash into WSCPA. Without
looking ahead
we may not be here in the future.
The
WSCPA Board has to locate, identify and contact new funding resources
and
talk to possible sponsors for the organization. We are now in the
position with the website to include sponsors in the website and on
our newsletters. We will also
display banners with their names on at the Spring Conference and any
shows that
we might participate in. At the same time standards must be identified
as to who
is be used and for what reasons. Some of this is identified in the
WSCPA By-Laws
and Articles of
Incorporation.
I hope that we have a good and fruitful meeting. I look forward to
helping in whatever way is needed.
